Xylor Fair Use Policy
- Unlimited Plans
Effective date: 1st January 2026
This Fair Use Policy applies to any Xylor plan described as “Unlimited” (including trials and promotions).
1) What “Unlimited” means at Xylor
“Unlimited” means you can use Xylor broadly across your workspace without per-user metering of everyday core actions.
“Unlimited” does not mean unlimited consumption of resources that have direct variable cost (for example: AI processing, high-volume email sending, or storage), or usage patterns that degrade service for others.
Like many SaaS providers, Xylor Unlimited plans operate under a fair use policy with explicit limits unless we enter into a separate written agreement specifying different limits.
2) Workspace-level pooled usage
All allowances and limits under the Unlimited plan are pooled per workspace:

One user may consume most usage, or it may be spread across users.

Your internal controls and permissions determine how usage is allocated.
3) Hard caps for Unlimited plans
Unlimited plans include the following hard caps (unless otherwise agreed in writing):

Internal users cap: up to 70 internal users per workspace.

External users cap: up to 10,000 external users per month per workspace.

External user (definition): a unique non-employee/non-seat person record that your workspace interacts with through Xylor (for example, customers/clients/contacts you store, message, or otherwise engage within Xylor) during a given calendar month.
4) Included usage allowances under Unlimited
Unlimited plans include fair-use allowances for the following variable-cost resources. These allowances reset monthly (calendar month unless your Order Form states otherwise):
A) AI Tokens
AI features are included up to a monthly allowance intended for typical business use.

AI tokens allowance: as defined in the pricing plans page - AI tokens/month per workspace

What counts: AI-driven generation, summarization, extraction, classification, and similar AI-assisted features.
B) Emails Sent
Email sending is included up to a monthly allowance.

Email sending allowance: total number of external users per plan per email/month per workspace

What counts: emails initiated via Xylor (including automated workflow emails, if applicable).
C) Storage
Storage is included up to a monthly allowance.

Storage allowance: GB per pricing tier per workspace

What counts: files, attachments, and stored documents (including versions, where applicable).
D) Global Calling System (metered, not “included”)
Calling is billed separately on a per-usage basis.

Billing basis: minutes and/or message units (as applicable)

Rates: provided during onboarding and/or within your workspace settings
Note: calling usage is not included in Unlimited allowances unless explicitly stated in your Order Form.
5) Prohibited or non-fair use
Even within stated limits, the following is not permitted without prior written approval:

Resale / service bureau use: using Xylor to provide services to third parties as a hosted platform (multi-tenant client hosting) unless explicitly authorized.

Circumvention: attempts to bypass caps (e.g., creating multiple workspaces to avoid limits).

Abusive automation or load: activity that materially degrades platform performance or stability.
-
Spam / abusive outreach: unsolicited bulk email campaigns, purchased lists, or activity that violates applicable email/marketing laws or provider policies.
6) What happens if you hit a cap or exceed allowances
Xylor may enforce any of the following when limits are reached:

prevent adding additional internal users beyond your plan limits,
-
prevent additional external-user activity beyond your plan limits in the month,
-
restrict AI features once token allowance is exhausted,
-
restrict email sending once monthly email allowance is exhausted,
-
restrict uploads or storage once storage allowance is exhausted.
Where practical, we will provide in-product warnings as you approach limits.
7) Options if you need more
If you consistently exceed limits, we can offer (as applicable):

a higher-limit plan,
-
paid add-ons (AI tokens, email sending, storage, external-user capacity),
-
or a custom Order Form / Enterprise agreement with tailored limits.
8) Customer data and responsibility
Xylor does not sell customer-uploaded data or operate a third-party data enrichment business. You control what data you upload into Xylor, and you represent that you have the right to collect, use, and provide that data to Xylor.
Xylor stores customer content using AWS infrastructure and uses industry-standard security controls (including encryption in transit and at rest) to protect stored data. (We do not guarantee absolute security, but we design for strong protection and continuous improvement.)
9) Updates to this policy
We may update this Fair Use Policy from time to time. Changes apply going forward and will be posted on our website or communicated through your account.
